Encoding Procedure:  

Prior to 2008, the majority of our finding aids were in electronic format in Microsoft Word, although a small number were still in hard copy. Once the decision was made to implement EAD, we created a template and entered in data from our finding aids that were in Microsoft Word as well as those in hard copy. A combination of XMetal and Notepad++ was used to transfer our finding aids to EAD. During the conversion process, the narrative portion of new finding aids is directly input into an EAD template and the box listings are entered into a Microsoft Word table with columns labeled with the appropriate EAD tags. Each series or subseries of box listings is then mail merged with the necessary EAD coding. New EAD finding aids are being added on a regular basis.

Delivery Mechanism:  

For search and delivery of EAD finding aids, Russell utilizes eXtensible Text Framework (XTF), which has been installed on one of our publicly accessible University of Georgia Libraries' servers.
