SAA Education Office Policies and Procedures
The Society of American Archivists Office of Education
is committed to providing quality continuing education that is relevant
and accessible to professional archivists via a variety of delivery methods.
The following Education Office Policies and Procedures are presented here
for your information.
SAA Workshops
Registration for Workshops
Full payment must accompany your registration. Registrations not accompanied
by payment will be placed on hold until payment is received. Registrations
are processed on a first-come, first-served basis. To avoid being double-billed,
do not send your registration via more than one method. To register,
participants may submit completed registration forms to the Education
Office online,
via mail, or via fax (with credit card number) Please do not fax your
registration if you will pay by check.
SAA accepts checks made payable to SAA, as well as credit cards issued
by VISA, MasterCard, or American Express. Payment must be made in US
funds. No purchase orders or vouchers can be accepted. If payment is
by credit card, we recommend that you submit your completed registration
form, including credit card information, to SAA via fax or Internet.
Early Registration Discount
Participants who submit a completed SAA Registration Form including
payment 30 days prior to the workshop start receive a $50 discount.
Registration Limits
For a workshop to be offered, a minimum enrollment based on
specific workshop expenses must be reached 30 days prior to the workshop.
Workshop Cancellation
SAA Workshops are subject to cancellation 21 days prior to
the scheduled date of the event if the minimum enrollment is not attained.
Instructors and registered participants will be notified immediately
after the 21-day deadline in the event of cancellation.
Workshop Refunds / Transfer
Workshops canceled by SAA will result in full and prompt refunds to
registered participants. In the event that a participant must cancel
his/her registration the following stipulations apply:
- Participants who cancel their registration, in writing (e-mail
is acceptable), 5 business days prior to the first scheduled
day of the
workshop will receive a full refund, minus a $35 administrative
fee.
- Participants
may not receive a refund for a workshop if cancellation is
received less than 5 business days prior to the first scheduled
day of the workshop.
- If you prefer to transfer to an alternate workshop,
notice is required (e-mail is acceptable), 5 business days
prior to the first
scheduled
day of the workshop and a $15 administrative fee is required.
Agreements for Instruction of SAA Workshops
- An instructor contract is contingent upon a minimum enrollment based
on specific workshop expense per course. If the required enrollment is
not attained 30 days prior to the course(s), SAA reserves the right to
cancel the course(s) listed on a signed contract. Instructors will be
notified immediately of any cancellations.
- SAA will pay directly for economy airfare booked through Travel Too
Agency. Where possible, arrangements will include a Saturday night stay-over.
Any changes made in air travel and subsequent travel charges will be the
sole responsibility of the instructor.
- Travel, lodging, and meal (per diem) expenses incurred in direct relation
to the instruction of these courses will be reimbursed by SAA. SAA reserves
the right to disallow expenses that do not follow SAA policy. All expenses
must be submitted on the SAA Expense Form enclosed with the contract.
IMPORTANT: SAA will not reimburse expenses submitted more than six months
following expenditure. There are no exceptions to this rule.
Co-Sponsorship of SAA Workshops
Organizations/Entities that co-sponsor workshops with SAA will receive
the following support from SAA as standard policy:
- Instructor(s) with travel and expenses paid;
- Instructional materials, including handouts and readings, nametags,
registration of participants, and Continuing Education Certificates for
registered participants.
- One complimentary registration if refreshments and appropriate classroom
space and AV equipment is provided at no cost to SAA; Requirements
vary per workshop.
