Archives Week/Month InfoExpo

There is growing interest in making Archives Week/Month into an annual celebration with coordinated nationwide planning and publicity. As we move in this direction, archivists will be building on a strong history of local efforts that dates back to the first Archives Week celebrations organized by archivists in New York in 1989.

This InfoExpo provides an opportunity for all archivists to see the wide range of engaging activities and innovative programs that repositories and organizations now hold in many locales across the country.

In 2005, four regional archival associations and 36 states promoted either Archives Week or Archives Month in some way. We hope to include examples from all of them. If space allows, it may also be possible to include examples from Archives Week/Month observances in individual repositories.

In addition, the SAA Reference, Access, and Outreach Section meeting on Friday, August 4 (12:15-2:15pm), will include a discussion of nationwide Archives Month opportunities and plans.

How can my organization submit materials for the Archives Week/Month InfoExpo?

No later than JUNE 16, 2006 (postmark date):

SEND POSTERS ONLY (up to three) to the Library of Virginia (LVA). The LVA staff will dry mount all posters to make them easier to display and then transport them to Washington for the meeting. Include a COPY of the reservation form (see below) for the Archives Week/Month InfoExpo. If more than one poster is submitted, label the posters on the back, upper right-hand corner as to 1st, 2nd, and 3rd choice for display, if space constraints limit inclusion.

DO NOT SEND OTHER MATERIALS AT THIS TIME! INSTEAD, SEND A RESERVATION FORM DESCRIBING POSTERS AND ALL OTHER MATERIALS to Susan McElrath, chair of SAA’s Reference, Access, and Outreach Section. Please include a scanned or photocopied image of all posters sent to the Library of Virginia for dry mounting.

What types of materials should my organization include?

In addition to posters, other types of materials that would be appropriate for display during the Archives Week/Month InfoExpo include:

  • Binders or scrapbooks containing print materials (brochures, leaflets, calendars of events, booklets). Be sure to put your organization’s name on the cover and spine. You could include a sheet inside that allows attendees to request copies of brochures to be sent to them following the meeting if that’s appropriate.
  • Multiple copies of pamphlets, brochures, posters that visitors can take.
  • Small free-standing table-top displays (no more than 12” wide).
  • Photograph albums or scrapbooks of your organization’s events.

How will materials be selected?

If the response to this call for participation in the Archives Week/Month InfoExpo is overwhelming (and we hope it is!), the organizing committee will choose a representational sample from among the items listed on the Reservation Forms submitted.

You will be notified by July 1 which of your items will be included and provided with instructions on how to deliver it for the exhibit.
